This position requires an organised and detail-oriented Executive Assistant to provide high-level administrative support within the industrial and manufacturing sector. The role is based in Lisbon and demands a professional who can manage multiple responsibilities seamlessly.
Description
Manage and coordinate the Regional President's complex calendar, including scheduling meetings, appointments, and travel arrangements across multiple time zones;
Serve as the primary point of contact for internal and external stakeholders, maintaining professional and effective communication on behalf of the President;
Prepare, proofread, and edit correspondence, presentations, reports, and other documents for the President;
Organise and coordinate regional leadership meetings, events, and conferences, including agenda preparation, logistics, and minute-taking;
Screen and prioritise incoming communications, ensuring timely responses and appropriate delegation;
Handle confidential information with the utmost discretion and professionalism;
Support project management initiatives by tracking deadlines, deliverables, and followups as directed by the President;
Collaborate with other executive assistants and administrative staff across the company for alignment and best practice sharing;
Assist with expense reporting, budgeting, and invoice processing as required.
Profile
The successful applicant must have:
Bachelor's degree or equivalent work experience in business administration or a related field;
Minimum of 5 years' experience supporting senior executives;
Ideally have experience supporting a complex commercial/sales operations across differing countries and cultures;
Project management experience;
Exceptional organisational and time management skills, with the ability to manage multiple priorities in a fast-paced environment;
Excellent written and verbal communication skills; proficiency in English is essential;
High degree of professionalism, discretion, and integrity;
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint);
Strong interpersonal skills and a collaborative approach to working with cross-functional teams;
Flexibility to occasionally work outside standard business hours as required;
Proactive problem-solving and decision-making abilities;
