Terroir is a fast-moving wine importer and distributor based in Lisbon, working closely with terroir-driven, artisanal winemakers. Our philosophy is rooted in identity wines, long-term relationships with producers, and deep respect for the product. We combine wine distribution with curated events, tastings, and a strong focus on storytelling, structure, and long-term relationships. As we continue to grow, we are looking for an Operations & Business Manager to play a central role in structuring and running the business across logistics, client management, strategic projects, and internal processes.
Role Description
This is a full-time on-site role based in Lisbon for an Operations & Business Manager. This is a cross-functional, high-ownership role at the heart of Terroir. You will ensure that day-to-day operations run smoothly while also consistently improving the systems, processes, and coordination needed to support sustainable growth. The role requires a hands-on, problem-solving mindset combined with the ability to plan, prioritise, and structure complex, fast-moving activities. You'll work closely with the founder, producers, clients, and external partners, acting as a key point of coordination across the business. As such, you will be trusted to take ownership of initiatives end-to-end, bring clarity where processes are still evolving, and support both operational execution and longer-term strategic projects as Terroir continues to scale.
Key Responsibilities
Operations & Logistics
- Coordinate national and international wine shipments
- Book transport, track deliveries, and manage arrival schedules
- Liaise with transport partners and resolve delivery issues
- Collect, verify, and archive transport and customs documentation (Packing lists, EDAs, DAEs)
- Manage allocations and incoming wines by producer
- Oversee warehouse organisation and stock movements
- Ensure proper shipment, customs documentation, and follow-up
- Manage Airtable producer order management system & dashboard
- Ensure visibility over costs, payments, and outstanding items
- Lead pricing logic and portfolio wine list updating
- Inventory planning and reordering decisions
- Keep an eye on daily client orders to ensure smooth delivery
Client Relations & Communications
- Act as a key point of contact for producers and partners
- Coordinate allocation communications and follow-ups
- Maintain a high-touch, professional client experience, support client relationships
- Support team with event planning, tastings, and producer moments where needed
Strategic Project Management
- Lead key operational projects end-to-end with external providers:
- Website/Shopify setup
- Inventory management system implementation
- CRM system implementation
- AI and automation integration
- Develop company merchandise
- Define project scopes, timelines, milestones, workflows and success metrics (KPIs)
- Coordinate and liaise with external partners (developers, designers, consultants) or service providers
Data Management:
- Build and/or maintain dashboards for sales, stock, and performance
- Translate data into insights to support decision-making and forecasting
What We're Looking for
- Experience in operations, logistics, project management, or a similar business role
- Strong organisational skills, attention to detail, planning, and prioritisation skills
- Comfortable juggling competing priorities in a fast-paced environment
- Clear, professional communicator (English required, Portuguese preferred, French or Italian is a plus)
- Proactive, solution-oriented, and calm under pressure - comfortable working with ambiguity and evolving requirements
- Data-literate and systems-minded
- Confident with tools such as Google Workspace, Excel, Airtable, Canva, Moloni (or similar systems)
- Interest in wine, hospitality, or events
