Job Description
We are seeking a highly proactive and detail-oriented Executive Assistant / Office Manager to support the Head of Lisbon as well as the Lisbon-based leadership team and oversee the efficient day-to-day running of our Lisbon office. This dual role blends executive-level administrative support with hands-on office operations responsibilities. The successful candidate will thrive in a dynamic environment, be an exceptional communicator, and have a solutions-focused mindset.
Job Responsibilities
Executive Assistant Duties:
- Provide high-level administrative support to the Head of the Lisbon (IWM COO) and as well as the local senior leadership team (as determined by the Head of Lisbon), including calendar management, travel booking, visa coordination, and expense reporting.
- Organize meetings, prepare agendas, and manage follow-ups including board packs and presentations.
- Assist in the creation and editing of reports, PowerPoint decks, charts, and internal communications.
- Act as liaison between local leadership and global teams.
- Support the preparation and filing of confidential and time-sensitive documents using tools like DocuSign.
- Assist the leadership team with project and event coordination and ad hoc administrative tasks as required.
Office Manager Duties:
- Oversee all aspects of Lisbon office operations including facilities, maintenance coordination and supplies in conjunction with Facilities Management and Procurement.
- Be the first point of contact for staff regarding office queries and ensure the environment is professional, well-maintained, and welcoming.
- Ensure compliance with local Health & Safety standards and coordinate with external providers for assessments and audits.
- Assist in office layout planning, desk allocation, and assist with staff on/offboarding processes.
- Act as front of house to ensure the good functioning of meeting rooms and to welcome visitors and guests
- Monitor service levels of external contractors in conjunction with Facilities Management and Procurement, to ensure value from all providers.
- Drive sustainability initiatives and coordinate office events and team engagement activities in collaboration with global functions.
Qualifications
- 5+ years' experience in a similar role, ideally combining executive support and office/facilities management.
- Fluent in English, with excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with DocuSign and Expensify is a plus.
- Highly organized with strong attention to detail and a proven ability to prioritize in a fast-paced environment.
- Able to handle confidential information with discretion.
- Comfortable managing multiple stakeholders and acting as the local "go-to" for all office matters.
- Proactive, adaptable, and able to work independently with a collaborative spirit.
- Well-presented, professional and personable.
