A boutique real estate investment and development firm is seeking a proactive and experienced Executive Assistant & Office Manager to support its founder and help establish and manage the new office in Cascais. This is a hands-on, high-impact role that blends executive support, office setup, and operational coordination in a dynamic and entrepreneurial environment.
Your new role
This hybrid position involves both strategic and operational responsibilities, including:
Providing direct support to the founder, including calendar management, travel coordination, and personal logistics;
Acting as a liaison between the Portugal office and the international headquarters;
Organizing meetings with investors, consultants, and partners, and preparing presentations and strategic documentation;
Assisting in the setup of the Cascais office: sourcing space, equipment, and implementing systems and processes;
Managing relationships with service providers, suppliers, and external consultants (legal, architecture, real estate agencies, etc.);
Supporting real estate development initiatives and investment operations;
Ensuring smooth day-to-day office operations and administrative efficiency.
What you’ll need to succeed
Minimum of 3 years’ experience in executive support or similar roles;
Background or strong interest in real estate, investment, or family office environments;
Fluency in Portuguese and English (mandatory);
Strong organizational skills, discretion, and a proactive, hands-on attitude;
Ability to work independently and manage diverse tasks with flexibility;
Availability for full-time, on-site work in Cascais.
