Your new company

Very large non-governmental organization, present in several countries around the world with a very large social aspect giving support to education, health and culture issues that is seeking a Executive Assistant (m/f/d).

Your new role

To assist the Head of Department in a broad range of activities regarding both operational and relationship matters, establishing regular effective interactions with diverse interlocutors at all levels, the main duties and responsibilities are: 

-Prepare and edit correspondence – including drafting memos, communications, presentations and other documents – and quality control of correspondence; 

-Obtain data from the field, perform quality control, and produce reports – e.g. HR/performance reviews, contact lists, event calendar and reporting;
-Design and maintain databases;
-File and retrieve documents and reference materials;
-Conduct research, collect and analyze data to prepare reports and documents;
-Manage and maintain executives' schedules, appointments and travel arrangements and expense reporting;
-Arrange and co-ordinate meetings and events;
-Record, transcribe and distribute minutes of meetings;
-Monitor, screen, respond to and distribute incoming communications;
-Answer and manage incoming calls;
-Receive and interact with incoming visitors, including VIP level;
-Liaise with internal staff at all levels;
-Co-ordinate project-based work and oversee to completion;
-Review operating practices and implement improvements where necessary;
-Supervise, coach and train lower level staff.

What you'll need to succeed 

-At least 5 years of experience providing support at a high level;
-Proficient computer skills and in-depth knowledge of MS Office tools e.g. in MS Word – quality publications; MS Excel – data analysis tools; MS PowerPoint – quality, elegant presentations; MS Outlook – list management;
-Deep knowledge of standard office administrative practices, protocol standards and procedures; 
-Bachelors degree minimum;
-Excellent level of Portuguese and English, written and spoken, is mandatory; 
-Communications skills, discretion and ability to deal wit sensitive situations and understand nuances, as well ad ability to work under pressure and to multi-task.
