Your Role
As HR Operations & Payroll Specialist, you will play a key role in managing the day-to-day HR operations in Portugal.
You will ensure that HR processes are executed efficiently, in compliance with Portuguese labour law, while providing operational support to employees and managers.
You will work closely with the HR Lead Switzerland as well as external partners such as payroll providers and insurance brokers.
Key Responsibilities
HR Administration
- Prepare employment contracts, amendments and HR documentation
- Maintain employee files and HR documentation in compliance with legal requirements
- Ensure proper documentation and administrative follow-up of employee lifecycle events
- Prepare HR certificates and administrative letters when required
Payroll Coordination
- Coordinate monthly payroll with external payroll providers
- Collect and validate payroll information (absences, bonuses, new joiners, leavers)
- Review payroll outputs and ensure accuracy
- Act as point of contact between the company and the payroll provider
Labour Law Compliance
- Ensure HR practices comply with Portuguese labour law
- Provide guidance on employment contracts, probation periods, leave entitlements and employment conditions
- Monitor changes in Portuguese employment regulations and advise the HR team when needed
Onboarding & Offboarding
- Coordinate administrative onboarding processes
- Ensure collection of all mandatory employee documentation
- (NIF, NISS, ID, bank details)
- Support offboarding procedures and administrative documentation
Benefits & HR Systems
- Manage employee benefits such as health insurance and flexible benefits
- Support HRIS updates and ensure accuracy of employee data
- Maintain records related to absences and leave
Employee Support
- Act as a first point of contact for employees regarding HR administrative matters
- Provide support on HR procedures and internal policies
About You!
- Bachelor's degree in Human Resources, Law, Business Administration or similar
- Minimum 3-5 years of experience in HR operations or HR administration
- Strong knowledge of Portuguese labour law
- Experience coordinating payroll processes
- High level of organization and attention to detail
- Ability to work independently and manage multiple priorities
- You speak Fluently Portuguese and English, French is a plus
