We are looking for a Backoffice Sales Spare Parts Specialist to join an international team and support the German market. This role will be responsible for managing customer orders, coordinating deliveries, and ensuring an excellent customer experience throughout the order fulfillment process.

Description

• Receive and process customer orders through ticketing systems, email, and SAP
• Manage order creation and processing within SAP
• Respond to customer inquiries regarding delivery times, product availability, and shipment status
• Clarify commercial and operational queries with customers
• Monitor and process orders through the Web Shop Monitor (ConXpert)
• Coordinate pick-up schedules with the central warehouse and shift managers
• Liaise with freight forwarders regarding deliveries and transport arrangements
• Handle shipping-related inquiries and resolve delivery issues
• Process product returns and related documentation
• Perform general administrative and back-office support activities
• Ensure a high level of customer service and customer satisfaction

Profile

• Completed vocational training in a commercial, business, or related field
• Minimum of 2 years' experience in a similar customer service, order management, sales support, or back-office role
• Experience working with spare parts, logistics, order processing, or customer support environments is highly valued
• Strong knowledge of SAP and proficiency in Microsoft Office 365, particularly Excel
• Analytical mindset with a structured and detail-oriented approach
• Strong customer focus and service orientation
• Excellent communication and interpersonal skills
• Ability to work independently while collaborating effectively within a team
• Results-oriented with strong organizational skills
• Proactive attitude and ability to manage multiple priorities
• Fluency in German (written and spoken) is mandatory
• Good level of English (written and spoken)
• Experience with SAP and order management processes
• Strong administrative and coordination skills
