Our client is a Business Association with presence worldwide.

Our client is a Business Association with presence worldwide and they are looking for a Junior Executive Assistant to support the President in Portugal.


Reporting to the President your main responsibilities will be:

Collaborating with members and executing on logistics for learning and social events;

Assist with membership and engagement processes established by chapter board;

Research, organize, and prepare documents for review and presentation by board of directors, committees, and executives;

Prepare logistics for board meetings including generating pre-reads, keeping meeting minutes and circulating meeting-minutes and post meeting follow-up;

Create, edit and write engaging content for multiple internal communications platforms and draft scripts or messages from board. This can be in the form of emails, articles and social media posts;

Help with the design, content, and production of all marketing/branding materials;

Using a variety of computer programs to generate reports, transcribe minutes from meetings, create presentations, maintain websites, and track event RVSPs;

Anticipate needs and questions of others to provide seamless and positive member experience;

Provide the best advice and assist with random requests from members and their families (e.g. suggesting cultural programs, occasionally help with reservations, etc);

Managing basic bookkeeping and balancing budget. Help to coordinate with accountants and assist with other administrative duties;

Enable the open exchange of information within the association to ensure that the right people get the right communication on time.


The ideal candidate will have:

Ability to work remotely with flexible hours; Exceptional organization and time management skills;

Ability to build rapport and collaborate with high-level executives and their families;

Excellent active listening skills;

Exceptional verbal and written communication skills both in Portuguese and English;

Ability to juggle competing priorities seamlessly; adapt and respond to changing work situations; open-minded; easy-going and tolerant;

Bookkeeping/Financial skills;

Excellent social media skills and tech-savvy;

Good communicator, team player and strong networking skills;

Prior event planning experience including managing event logistics, registration and marketing would be helpful;

Computer proficient, prior experience with Quick Books, Salesforce, CVENT and Zoom would be an advantage;

Prior internship experience with not-for-profit organisation helpful;

Available for occasional travel.
