Role Overview

We are seeking a highly capable and proactive Executive Assistant, with a particular focus on sales enablement and external coordination. The successful candidate will support the CEO in managing a high-volume pipeline, ensuring follow-ups are timely, meetings are scheduled, and communication is polished and professional.

This part-time role is fully remote and ideal for a detail-oriented, tech-savvy assistant who thrives in a fast-paced, mission-driven environment.


Key Responsibilities

  • Draft and manage client communications, follow-ups, and outreach in HubSpot CRM
  • Schedule and coordinate internal and external meetings across multiple time zones
  • Maintain the calendar, email triage, and task prioritisation
  • Join client calls as needed, taking ownership of next steps and follow-ups
  • Prepare agendas, notes, and supporting materials for meetings
  • Provide general executive support and administrative coordination
  • Prepare content and messaging for conference-related outreach; manage booking, travel, and follow-ups to maximise meetings and impact around key industry events
  • Ensure data accuracy and organisation within CRM and digital tools

Required Experience & Skills

  • 4+ years' experience supporting a senior executive in a fast-paced environment
  • Excellent organisational, planning, and project management skills
  • Exceptional written and verbal communication skills; able to draft high-quality content
  • Proactive and resourceful with the ability to work independently
  • Strong IT skills including proficiency in Microsoft Office including powerpoint and CRM ie Hubspot
  • Professional presence and confidence in client-facing situations
  • High attention to detail and commitment to accuracy, confidentiality and follow up

Preferred Qualifications

  • Experience in writing professional content or related health or scientific field
  • Fluent in English
  • Bachelor's degree in Administration, Communications, or related field
